Overview

The following policy applies to The Event Space, The Confessionals (Meeting Room) and The Atrium (Conference Room) located at IslandWorks in Sheerness, Kent, ME12 1RR.

This policy and any conditions listed regarding the hire of these rooms are legally protected under UK Law.

By confirming the booking, you agree to these policies.

Bookings are not secured until payment and confirmation have been received for the hire of any spaces. IslandWorks accepts no liability for any losses resulting in cancelling any non-secured bookings. It is the responsibility of the hirer to ensure that they read and agree to the policy and ensure payment and confirmation are made when required as per any invoice.

Payment

Payment for any room hire is required at the time of booking. IslandWorks will raise an invoice (please provide details of who to invoice if not the named person), and payment should be made prior to the due date.

Where payment cannot be made by bank transfer, please contact IslandWorks to ask for a payment link to make payment by card.

Cancellations

The following fees will apply to cover any losses due to cancellations. Any cancellations must explicitly be put forward in writing to hello@islandworks.co.uk

1 month prior to the start time of the booking – 10% of the total payable;
7 days prior to the start time of the booking – 50% of the total payable;
48 hours prior to the start time of the booking – 100% charge.

Food & Drink Catering Cancellations

Due to the nature of perishable food / consumable items, at least 72 hours notice prior to the start time of the hire and/or event is required for all catering package cancellations. Cancellations before this time will incur a 20% admin fee. Cancellations within 72 hours incur the full fee.

Technical Support

Our Conference room and Meeting room both include a TV for people to use to display from their screen. The TV’s come with a HDMI cable which is fed through the table in the room. IslandWorks provides the HDMI cable as standard but does not provide additional devices/adapters for hirers to connect their devices to the displays. It is the Hirers responsibility to check they are able to connect their device with a standard HDMI connection on the day of the booking. The TV’s do support wireless display pairing for modern devices that support AirPlay 2 and/or Miracast.

Amendments

Any amendments to bookings must explicitly be put forward in writing to hello@islandworks.co.uk where IslandWorks may, subject to availability, move bookings to alternative dates.

Amendments may only be made once free of charge at the manager’s discretion and thereafter will incur an additional administration fee for further amendments to the same booking in question.

Amendments to food and drink catering packages are subject to our Catering Cancellation policy detailed above.

Any cancellations to amended bookings are subject to the original booking date.

Damages

Hirers are responsible for any damage that occurs during the hire period. Whilst general wear and tear is expected, significant damage to any fixtures, fittings and/or fabric of the building will result in an invoice being raised and is payable upon demand. At no time are items permitted to be attached in any way to walls, ceilings or floors unless with prior written permission from a manager of IslandWorks.
